How to track job applications

A useful tracker records more than just company names. At minimum, include role title, company, source, date applied, location, resume version used, status, next step, and contact person if available. These details matter when you receive a callback two weeks later and need to reconstruct context quickly.

You can also add fields for salary range, remote or on-site preference, referral used, assessment deadlines, and follow-up date. The right amount of detail depends on your volume, but it should always help you act faster rather than create extra admin for no reason.

Many candidates write only applied and rejected, which hides too much useful information. Better stages might include shortlisted, assessment pending, assessment completed, HR round, technical round, follow-up sent, on hold, offer received, and not moving forward. Specific stages make your pipeline visible.

Updating the tracker regularly is more important than making it perfect. If you delay updates for several days, the system loses value quickly. Build the habit of logging applications immediately and updating statuses as soon as new emails or calls come in.

A tracker becomes powerful when you use it to look for patterns. Which job titles produce interviews? Which platforms send the weakest leads? Do direct applications work better than mass job-board submissions for you? When you review the data weekly, your search stops feeling random and starts producing feedback.

You may discover that one resume version performs much better, or that your strongest responses come from startups rather than large portals. These insights are hard to notice without written records. Good tracking is a form of self-coaching.

The best tracker is the one you will still use when things get hectic. A neat spreadsheet, a Notion board, or even a structured notes app can all work. Complexity is not the point. The system should be fast to update on a phone or laptop and clear enough that you can understand your pipeline in one glance.

If you have very low volume, a minimal tracker is fine. If you are applying heavily across many roles, add filters or color coding. What matters is that the tracker reduces anxiety and missed follow-ups rather than becoming a chore you avoid.
